We’re looking for a motivated Sr. Administrative Assistant responsible for performing administrative duties for Lawson’s McCook distribution center. These duties include preparing warehouse and financial documents, reports and onboarding new employees.

Responsibilities:

  • Provides general administrative support to the distribution center (DC) leadership team, particularly the Sr. Director of Operations. This includes scheduling travel arrangements and maintaining calendar appointment.

  • Sorts and distributes incoming mail, faxes and emails. Prepares correspondence and makes direct contact with suppliers. Submits freight claims. Takes, prepares and distributes meeting minutes.

  • Manages the flow of documents for the US distribution centers, organizing and maintaining document files.

  • Prepares operational reports. Gathers and prepares month-end operational data reports for review and presentation.

  • Prepares and maintains documents relating to financial performance and Key Performance Indicators (KPIs).

  • Prepares and maintains financial records for the McCook warehouse, including invoice coding, month-end expense accrual summary, quarterly indirect procurement requests and month-end Profit & Loss reporting for U.S. distribution centers. Creates and maintains budgeting templates for all US distribution locations.

  • Manages indirect spot purchasing and account reconciliation, utilizing site assigned P-Card for pre-approved site purchases.

  • Manages relationship with temporary employment agencies. Reconciles invoiced hours paid against recorded hours worked.

  • Performs administrative duties for the Human Resources database, including updating employee schedules, union-wage administration and assisting employees with record updates.

  • Distributes weekly paychecks to associates without direct deposit.

  • Manages the attendance-point program for union associates, ensuring program records match time-clock records. Prepares point forgiveness report in accordance with union contract requirements.

  • Performs onboarding duties, including orientation for newly hired McCook associates and preparing building-access badges.

  • Manages the safety shoe replacement program.

  • Maintains ISO records in hard and digital copy for all ISO audits and audit responses.

  • Maintains records for all contracts directly related to the McCook operations. Schedules review of contracts set to expire.

  • Oversees event-planning for the McCook distribution center.

  • Performs miscellaneous office duties, such as maintaining office and lunchroom supplies.

  • Other duties as assigned.

Qualifications & Requirements:

  • High school diploma required; associate degree or higher is a plus, with a minimum of 5 years’ relevant administrative support work, or equivalent combination of education and experience.

  • Bilingual English/Spanish is a plus.

  • Advanced working knowledge of Microsoft Office Suite (including Outlook, Excel, Word and PowerPoint), PC and email applications.

  • Strong written and verbal communication skills.

  • Keen attention to detail.

  • Self-directed and self-motivated, with a proactive approach to problem-solving and strong decision-making skills.

  • Strong comprehension and reasoning skills.

  • Team-oriented mindset, complemented with the ability to work independently.

  • Ability to multi-task, prioritize and meet deadlines in a fast paced environment.

  • Knowledge of SAP is a plus, as is comfort in learning new software applications.
